When you’re ready to, most forms can be submitted at:

And just so you’re aware, we recognize five categories of Student Groups:

Common-Interest Clubs minimum of 10 members; meet regularly; anyone can join; extra-curricular activities
Recreation Clubs minimum of 10 members; regular activity schedule; anyone can join; indoor/outdoor sports
Course Unions faculty sponsored; program based; holds at least one public seminar per semester (Fall/Winter)
Class Projects short-term activity; not anyone can join; results in a physical product or organized event
Student-Organized Events extra-curricular; open to general public; complies with CCSS requirements; organized by Camosun Students

 

REGISTER A NEW STUDENT GROUP

The Camosun College Student Society encourages student organized activity. The CCSS offers a wide-range of supports to student groups, including:

  • poster and banner printing
  • room booking
  • eligible for STUDENT GROUP FUNDING
  • logistical support for on-campus activities
  • endorsement on the clubs webpage
  • email listserve service
  • @camosunstudent.org club email address
  • T-shirt printing
  • bulk materials ordering
  • and much more…

For your group to access these services, it must be actively registered with the CCSS. New groups must register online and submit any applicable forms. If you are a continuing group, you must submit a renewal form each semester. If your group does not submit renewal forms for two (2) consecutive semesters, it will be removed from the registry.

This form is only for NEW student groups registering themeselves with the CCSS.

RENEW A CONTINUING GROUP’S STATUS

If you are a continuing group of any category (see above), you MUST submit a renewal form each semester (Winter, Spring, Fall). If your group does not submit renewal forms for two (2) consecutive semesters, it will be removed from the registry. Groups will not be elligible to apply for funding or access other group services until their group has submitted renewal forms and has current status in that semester… Student Group Renewal forms are due on: January 31st, May 31st, and September 31st … For clubs: a membership list is also required before October 15th of each year.

This form is only for CONTINUING student groups renewing status with the CCSS.

CLUB MEMBERSHIP FORM

Each club must submit a registry of it’s current members upon initial registration, and before October 15th of each following Fall semester. Membership lists ensure that CCSS clubs are appropriately funded for the number of students who are participating. Membership registry forms can also be submitted through the REGISTER your group or the RENEW your group forms.

BUDGETING FOR FUNDING PROPOSALS

Even with a great budget, funding is never guaranteed. Please await approval before incurring any expenses. All expenses must be pre-approved, either via a budget or through a specific fund (Travel, Clubs Start-Up, etc). A good budget provides a clear explanation of what is being requested, and a way of efficiently pre-approving a series of expenses.

CLUB FUNDING

Clubs are encouraged to apply for further funding through the GROUP FUNDING APPLICATION. All Common-Interest and Recreational Clubs are automatically entitled to a miscellaneous spending budget of 50$ upon registration and renewal. Please note that strict restrictions on club expenses apply, some of which are listed below. All reimbursements require detailed receipts and are subject to approval by the Clubs Coordinator. Club organizers are responsible for any expenses which are not reimbursed by the society, so if you are unsure whether or not you can claim an expense please contact clubs@camosunstudent.org before incurring the expense.

Examples of “Acceptable” Expenses: Examples of “Unacceptable” Expenses:
Weekly Meetings Any expense incurred prior to registration/renewal
Film Nights, Cultural Events, Guest Speakers Any expense without an “itemized” receipt
Banners, Posters, Advertising Capital Investments for profit
T-Shirts, Water bottles, Promo Material Donations
Club Socials, Conferences Restaurant Bills
Supplies/Equipment Stipends for Club Members

 


 

STUDENT ACTIVITY AND GROUPS GRANT INITIATIVE

Student groups, including Clubs, Course Unions, Class Projects, and Student-Organized Events may apply for activity funding from the CCSS through the Student Activity and Groups Grant Initiative. An application package is available for download below. Applications must be submitted at least 3 weeks before any event or expenses are incurred. Applicants will be advised of their funding request within 2 weeks of their application, and may be required to submit additional information. Funding is never guaranteed, and is based on availability, request merit, and benefit to Camosun Students.

TRAVEL FUND APPLICATION

The Club Travel Pool fund is available to any student groups as a subsidy. The amounts are limited and can only subsidize a portion of the group travel expenses. The fund allows for reimbursement of up to 50% of group travel costs, to a maximum of 75$ per person and a total maximum of 200$ per group.

From time to time, the CCSS may provide limited sponsorship to groups who do not fall within the categories of Student Groups identified at the top of this page.
